Your new company A well-established Western professional services provider, headquartered in Hong Kong, offering comprehensive business consultancy and professional advisory services, is currently looking to hire a Company Secretarial Assistant to support its growing team.
Your new role - Provide day-to-day administrative support, including document preparation, meeting coordination, correspondence handling, photocopying, and scanning.
- Maintain both physical and electronic filing systems, ensuring statutory records, corporate documents, and regulatory filings are well-organised, up to date, and easily accessible.
- Support the preparation, proofreading, and formatting of company secretarial documents and related materials.
- Assist with departmental operations by liaising with internal teams, managing incoming and outgoing documents, and supporting deadline tracking.
- Act as the first point of contact for the office, professionally welcoming clients, guests, and vendors.
- Answer, screen, and route incoming calls courteously, taking accurate messages when required.
- Receive, sort, and distribute incoming mail and deliveries; arrange outgoing courier services and maintain courier records.
- Assist with ad hoc assignments and projects as required, including regulatory research, data entry, and post-meeting follow-ups, under the direction of the Company Secretarial Manager.
What you'll need to succeed - At least 2 years of experience in office administration or a company secretarial environment; candidates with direct company secretarial experience are strongly preferred.
- Strong written and spoken English and Mandarin, with the ability to prepare formal correspondence and manage bilingual documentation.
- Proficient in Microsoft Office applications, including Word, Excel, and PowerPoint.
- Highly organised and detail-oriented, with the ability to manage multiple tasks, prioritise deadlines, and maintain accuracy in a fast-paced environment.
- Excellent interpersonal and telephone etiquette, with confidence in liaising with internal stakeholders as well as external regulators and service providers.
- Self-motivated and capable of working independently, with a strong sense of responsibility, discretion, and integrity when handling confidential information.
