Job Title: Admin & Finance Manager (Dual Role)
Location: Central, Hong Kong
Our client is a legal service consulting firm providing cross-border legal advisory, regulatory compliance, and dispute resolution support to corporate clients.
The Opportunity
This is a standalone, dual-role position combining office management and finance management. It is ideal for a hands-on professional who thrives in a professional services setting and can bridge operational and financial functions.
Key Responsibilities
Office Admin Management (approx. 60%)
- Oversee daily office operations, including supplies, equipment, vendor and building management.
- Coordinate HR administration: onboarding/offboarding, leave records, staff events, liaison with external HR advisors.
- Ensure compliance with local regulations for a legal consulting firm (licensing, insurance, filings).
- Manage internal schedules, travel arrangements, and meeting coordination, particularly for visiting mainland partners.
- Maintain a professional, efficient, and legally compliant workplace.
Finance Management (approx. 40%)
- Handle full or partial set of books (AP/AR, general ledger, bank reconciliation) using accounting software.
- Process monthly payroll, MPF contributions, expense reimbursements, and client billing.
- Prepare monthly financial reports (P&L, cash flow, budget vs actuals).
- Liaise with external auditors, tax advisors, and banks; support annual audit and Hong Kong Profits Tax filing.
- Manage client retainer accounts, fee collection, and cost control.
Candidate Profile – Essential Requirements
- Education: Bachelors degree in accounting, Finance, Business Administration, or related field.
- Experience: 3–5 years of combined office management and finance experience, ideally within a law firm, legal consultancy, or other professional services firm.
- Language: Fluent in English and Chinese (Mandarin and Cantonese)
- Technical Skills: Hands-on with accounting software (e.g., QuickBooks, Xero, Peachtree) and MS Office (Excel, Word).
- Local Knowledge: Working knowledge of Hong Kong Employment Ordinance, MPF regulations, and Profits Tax compliance.
- Soft Skills: Highly organized, able to work independently, discreet with confidential information.
Preferred but Not Required
- Prior experience in a legal or consulting environment.
- Qualified HKICPA / ACCA.
