Your new role
  • Manage the reception area, greet and escort clients, and handle incoming calls professionally.
  • Maintain adequate inventory levels for office supplies and pantry items
  • Support the planning, coordination, and execution of internal events
  • Respond to facilities requests in a timely and service-oriented manner, ensuring clear communication with stakeholders.
  • Coordinate workstation arrangements for new hires, transfers, desk moves, and terminations
  • Conduct daily inspections to ensure the office environment is clean, safe, and fully operational
  • Plan, coordinate, and monitor office maintenance and repair works
  • Prepare regular reports (bi-weekly, monthly, quarterly) for management review
  • Handle ad hoc facilities issues (e.g., air conditioning, lighting, furniture concerns)
  • Liaise closely with the accounts payable team to ensure timely invoice processing
  • Assist in budget preparation, forecasting, and ongoing monitoring
  • Manage external vendors and ensure services meet company standards and requirements

What you'll need to succeed
  • 1-2 years of experience in administration, reception, or customer service
    • Fluent English communication skills (both spoken and written) are essential.
    • Strong interpersonal and customer service skills
    • Excellent organisational and multitasking abilities with strong attention to detail
    • Good problem-solving skills and ability to handle ad hoc situations independently
    • Ability to prioritise tasks and meet deadlines in a fast-paced environment
    • Proactive, responsible, and able to take ownership of assigned tasks
    • Proficient in Microsoft Office applications (Word, Excel, PowerPoint)
