Your new role - Manage the reception area, greet and escort clients, and handle incoming calls professionally.
- Maintain adequate inventory levels for office supplies and pantry items
- Support the planning, coordination, and execution of internal events
- Respond to facilities requests in a timely and service-oriented manner, ensuring clear communication with stakeholders.
- Coordinate workstation arrangements for new hires, transfers, desk moves, and terminations
- Conduct daily inspections to ensure the office environment is clean, safe, and fully operational
- Plan, coordinate, and monitor office maintenance and repair works
- Prepare regular reports (bi-weekly, monthly, quarterly) for management review
- Handle ad hoc facilities issues (e.g., air conditioning, lighting, furniture concerns)
- Liaise closely with the accounts payable team to ensure timely invoice processing
- Assist in budget preparation, forecasting, and ongoing monitoring
- Manage external vendors and ensure services meet company standards and requirements
What you'll need to succeed - 1-2 years of experience in administration, reception, or customer service
- Fluent English communication skills (both spoken and written) are essential.
- Strong interpersonal and customer service skills
- Excellent organisational and multitasking abilities with strong attention to detail
- Good problem-solving skills and ability to handle ad hoc situations independently
- Ability to prioritise tasks and meet deadlines in a fast-paced environment
- Proactive, responsible, and able to take ownership of assigned tasks
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint)
