The Role
- Executive support: Provide full administrative backing to the founders, handling schedules, correspondence, and day-to-day coordination to ensure smooth operations.
- Calendar and travel management: Manage complex calendars, meetings, and global travel arrangements, including flights, accommodations, and itineraries with careful attention to timing and detail.
- Personal and private support: Assist with selected personal matters such as appointments, reservations, and lifestyle coordination, ensuring a seamless daily flow.
- Expense and documentation handling: Support expense tracking, reimbursements, and basic record keeping with accuracy and discretion.
- Office operations: Oversee daily office administration, ensuring the workplace is well-organised, efficient, and running smoothly.
- Vendor coordination: Liaise with external vendors and service providers (e.g., facilities, IT, suppliers) to maintain office standards and resolve issues promptly.
- Facilities and maintenance: Ensure the office environment is well maintained, including managing supplies, repairs, and general upkeep.
- Event and meeting coordination: Organise internal meetings, team events, and small-scale functions, ensuring a professional and smooth experience.
Your Profile
- A proper University Degree holder is required.
- 8-10 years of relevant experience as an Executive Assistant to C-suite executives
- Demonstrates a stable employment history
- Proficient in MS Office tools (Word, Excel, Outlook, PowerPoint).
- Excellent command of English and Mandarin; Cantonese is a plus.
- Proactive and mature with strong organizational and time management skills.
- Strong sense of ownership and responsibility.
- Ability to work well under pressure.
- Creative problem solver with strong multi-tasking and prioritization skills.
- High professional standard of integrity and confidentiality.
